Review articles for usefulness, evidence, metadata, media and related content with a repeatable workflow that fits a small publishing team.

Publishing consistently is easier when the team agrees on what an article must contain and who checks it. The checklist should protect the reader’s experience without turning every small edit into a complicated approval process.

Review the promise before polishing sentences

Read the title, introduction and headings together. They should describe one recognisable problem and a useful outcome. If the title promises a tutorial but the article contains only benefits, resolve that mismatch before editing punctuation.

Ask what the reader can do after reading. A useful answer could be mapping redirects, reviewing a form or comparing content structures. Include a worked example where it helps. A page that only repeats general advice may need a more specific angle rather than additional paragraphs.

Check evidence where the claim appears

Verify product capabilities against an official source. Trace project descriptions to the actual scope of work. Label invented examples as illustrative. If a direct quote is used, retain the exact approved wording and attribution.

Keep dates meaningful. The original publication date and a substantial update date describe different events. When updating an article, check screenshots, links and examples as well as the body copy. A fresh timestamp on obsolete instructions gives the reader the wrong signal about the work that was done.

Inspect the page beyond the main text

Check the summary, search title and description as a coherent set. Confirm that they describe the article rather than a generic agency offer. Verify the cover image, useful alternative text and captions for informative images.

Open the rendered article at a narrow width. Read a table, expand any interactive section and follow a related link. Check for empty FAQ entries and repeated headings. Previewing only the text editor can miss template problems that make otherwise good content frustrating to read.

Assign the next review, not just the first publication

Name a content owner and define what should trigger a review: a product change, broken link, revised service or repeated reader question. A technical tutorial needs a different review rhythm from an evergreen planning guide.

Keep a lightweight record of meaningful changes. When two articles begin answering the same question, consider revising their scope or merging them. A publishing calendar should help maintain a useful library, not just increase its size. Revisit the internal links when the library changes so that older articles continue to lead readers somewhere relevant.

A publishing checklist should protect the promises an article makes to its reader.

For Trustlayer io, YAVACADO migrated the website and blog from Strapi to Webflow. The project focused on giving the marketing team a visual publishing workflow. It is a practical example of why content structure and the people maintaining it should be considered together.

Put it into practice

An article has excellent grammar but three vague sections and no example. Is it ready?

Show the suggested approach

Review the angle and practical value first. Add a specific scenario or decision process and remove sections that do not advance the answer. Copy editing improves expression, but it cannot supply the missing substance.
